What we need:
Reporting to the Head of Digital HR, with a dotted-line reporting relationship to the Head of Talent Acquisition, the SmartRecruiters Implementation Lead will lead the scoping, design, implementation, adoption, launch and stabilisation of SmartRecruiters across Digital Edge. This is a one-year fixed-term contract, with the potential for renewal subject to business requirements to provide ongoing SmartRecruiters administration, continuous improvement and possible future support for SAP SuccessFactors. The role will ensure the solution is intuitive and effective for candidates, recruiters, hiring managers and HR users, while establishing regional consistency and meeting local market requirements. The role may be based in Singapore or another APAC location.
Key working relationships:
The role will work closely with the wider HRIS and Digital HR team, in-country HR Business Partners to capture local requirements, and Talent Acquisition Partners as the principal user group. It will also partner with business leaders, hiring managers, IT, information security, integration teams and implementation vendors, and liaise directly with the CHRO as required.
Key responsibilities:
- Lead the end-to-end, multi-country implementation of SmartRecruiters, covering discovery, requirements gathering, solution design, configuration, integration, data migration, testing, deployment, launch and post-launch stabilisation.
- Own the implementation plan, milestones, resources, risks, issues, dependencies, decision log, change control, status reporting and escalation process, ensuring delivery is transparent, well governed and aligned with agreed outcomes.
- Translate business and local market requirements into practical design decisions; recommend standardised approaches and constructively challenge requests that would introduce unnecessary complexity, weaken controls or compromise the user experience.
- Design an intuitive, consistent and effective experience for candidates, recruiters, hiring managers and HR users, balancing global process principles with legal, regulatory and operational needs across Digital Edge markets.
- Lead vendor and delivery-partner management, including scope, deliverables, timelines, quality, issue resolution and accountability for agreed outcomes.
- Establish testing governance and coordinate system, integration, regression and user acceptance testing, including test plans, scripts, defect management, entry and exit criteria, business sign-off and production validation.
- Own implementation readiness, communications, stakeholder engagement, training, enablement, launch support and adoption activities; capture feedback, monitor usage and drive continuous improvement after go-live.
- Present recommendations, design decisions, risks and progress updates to senior stakeholders and governance forums, facilitate decisions and respond clearly and directly to questions from leaders and users.
- Define success measures and track adoption, user experience, process efficiency, data quality and other agreed benefits to support benefits realisation.
- Establish implementation-ready administration and support arrangements, including configurations, workflows, job templates, forms, notifications, permissions, career-site settings, country requirements, integrations, security, privacy controls, reporting and documentation.
- During stabilisation—and as part of any renewed longer-term remit—manage incidents, fixes, releases, access reviews, reporting, vendor support and approved enhancements, while identifying opportunities to improve SmartRecruiters and potentially support SAP SuccessFactors.
The successful candidate:
- Demonstrated experience leading, or playing a significant delivery role in, a comparable multi-country SmartRecruiters implementation. Experience should span requirements gathering, solution design, configuration, integration, testing, data migration, deployment and post-launch stabilisation; general ATS administration experience alone is not sufficient.
- Strong knowledge of SmartRecruiters capabilities, configuration, workflows, permissions, integrations, reporting, security, release management and operating-model considerations.
- Proven project delivery and governance capability, with experience managing plans, risks, dependencies, decisions, vendors, change control, testing, readiness, communications, training, launch support and benefits realisation.
- A strong user-experience and adoption mindset, with the ability to balance global consistency, local market needs, process effectiveness, data integrity and ease of use.
- Credible, confident and engaging with senior stakeholders, with strong presentation, facilitation and communication skills and the presence to build support among leaders who may be resistant to change.
- Sound judgement and the confidence to operate independently, make practical recommendations, challenge constructively and maintain delivery momentum in a fast-moving, multi-country environment.
- Ability to translate business needs into clear system and process designs and explain technical matters simply and directly to non-technical audiences.
- Strong analytical, problem-solving, stakeholder-management and documentation skills, with a collaborative approach across Talent Acquisition, HR, HRIS, IT, vendors and business teams.
- Bachelor’s degree in Human Resources, Information Systems, Business or a related field.
- SmartRecruiters certification is preferred. Experience with SAP SuccessFactors, HR technology integrations and change management is advantageous.
