The PMO Coordinator – Aconex & Information Systems is the corporate owner and subject matter expert (SME) for the Aconex Common Data Environment (CDE) across all data centre development projects. Acting on behalf of the Owner, Builder, and Lessor, the role ensures Aconex is implemented, governed, and used consistently to support project delivery, commissioning, leasing, and long-term operations.

 

This is not a document control role. The position focuses on system administration, information governance, internal coordination, and user enablement, while also supporting core PMO reporting and assurance activities and providing oversight and direction to project-based, third-party Document Controllers.

 

Key responsibilities:

 

  1. Aconex Implementation – Internal Enablement & Data Mobilization

 

· Implement Aconex in line with corporate standards and project requirements, without leading the overall implementation program

· Drive the collection, validation, and submission of required owner data, including document registers, metadata, authority, commissioning, handover, and leasing information

· Actively engage local project teams to complete required templates and data inputs accurately and on time

· Coordinate inputs across development, construction, operations, and leasing teams

· Review and validate system configuration outputs against corporate requirements

· Identify and resolve gaps or inconsistencies in internal data inputs

· Support Aconex go-live readiness and early-stage adoption

*This is a once off scope supported by Oracle implementation team and potentially 3rd party implementation resource

 

  1. Corporate Aconex Governance & Standards

 

· Act as the corporate Aconex system owner across the data centre portfolio

· Define and maintain corporate procedures, standards, naming conventions, and metadata structures

· Ensure alignment to data centre asset, operations, and leasing requirements

· Monitor compliance and intervene where projects deviate from agreed standards

 

      3.Oversight of Project-Based Document Controllers (Third Party)

 

· Provide functional direction and oversight to third-party, project-based Document Controllers

· Set expectations for data quality, workflow management, and system administration

· Review performance and address non-compliance or capability gaps

· Act as escalation point for complex Aconex issues

 

      4.Ongoing Administration & Advisory Support

 

· Provide advanced Aconex administration, including access, permissions, and complex workflows

· Support authority approvals, commissioning, integrated systems testing, and handover processes

· Support audits, disputes, and information traceability

· Lead system close-out, archiving, and data transition to operations

 

     5. Training, Adoption & Continuous Improvement

 

· Lead and deliver role-based Aconex training for internal teams, consultants, contractors, and suppliers

· Develop and maintain user guides, templates, onboarding materials, and recorded training content

· Deliver training across multiple geographies and time zones

· Drive user adoption and continuous improvement in system usage

 

   6. PMO Coordination & Regular Reporting Support

 

· Support the broader PMO function in the preparation, review, and consolidation of regular project reporting

· Review project inputs for completeness, accuracy, and consistency prior to reporting submission

· Follow up with project teams on outstanding actions, data gaps, or clarifications

· Assist with the preparation of dashboards, status reports, and management summaries

· Ensure alignment between information reported through PMO processes and data maintained in Aconex where applicable

 

Actively champion and implement the organization’s policies on health & safety, environment, energy, quality, information security, and business continuity, ensuring adherence to incident reporting, legal, and regulatory requirements.

 

The successful candidate:

 

  • Strong experience as an Aconex Administrator on construction projects
  • Experience supporting Aconex implementation and project mobilisation
  • Understanding of data centre design, construction, commissioning, and handover documentation
  • Experience working in an owner, developer, or builder organisation
  • Proven ability to mobilise internal teams, support PMO governance processes, and manage third-party service providers
