What we need:
Operations Support Specialist is responsible for supporting daily business operations with a focus on regulatory compliance, procurement, and financial processes. This role handles LGU permit processing, petty cash management, vendor coordination, and purchase order issuance, while also serving as an ISO Champion to ensure adherence to quality standards. The position plays a key role in maintaining efficient workflows, accurate documentation, and compliance with internal and external requirements.
Key responsibilities:
Regulatory Compliance & LGU Permits:
- Process and manage LGU permits, including business permits, barangay clearances, and other local regulatory requirements
- Ensure timely renewal and compliance with local government regulations
- Coordinate with government agencies such as the Bureau of Internal Revenue, Department of Trade and Industry, and Securities and Exchange Commission
- Maintain accurate records and tracking of all permits, licenses, and compliance documentation
Petty Cash Management:
- Handle petty cash disbursement, liquidation, and reconciliation
- Ensure all transactions are properly documented and aligned with company policies
- Monitor and report petty cash usage and balances
ISO Compliance (ISO Champion):
- Support implementation and compliance with standards from the International Organization for Standardization
- Maintain proper documentation and ensure alignment with quality management systems
- Assist in internal and external audits and drive continuous improvement initiatives
Procurement & Purchase Orders:
- Create, review, and issue Purchase Orders (POs) in accordance with procurement policies
- Coordinate with internal teams and vendors to ensure accuracy and timely fulfilment of orders
- Maintain organized records of all procurement activities
Vendor Management & Payments:
- Process vendor payments, ensuring accuracy and completeness of billing documents
- Coordinate with finance and vendors on payment status, discrepancies, and reconciliations
- Maintain vendor records, accreditation documents, and contracts
Operational & Administrative Support:
- Prepare operational, financial, and compliance reports for management
- Maintain accurate databases and documentation
- Support daily administrative and operational tasks to ensure smooth business processes
Actively champion and implement the organization’s policies on health & safety, environment, energy, quality, information security, and business continuity, ensuring adherence to incident reporting, legal, and regulatory requirements.
The successful candidate:
- Bachelor’s degree in business administration, Operations Management, Accounting, or a related field
- 2–4 years of experience in operations, compliance, procurement, or administrative support
- Experience handling LGU permits and regulatory compliance is highly preferred
Skills & Competencies:
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Knowledge of procurement and basic accounting processes
- Familiarity with ISO standards and audit processes
- Excellent communication and coordination skills
- Proficiency in Microsoft Office or Google Workspace
Working Conditions:
- Full-time position
- May require occasional fieldwork for permit processing and government coordination
- Office-based, with possible hybrid setup depending on company policy
