What we need:
This role is a central operational support function for employees, leadership, visitors, and cross-functional teams, ensuring smooth business operations and a positive workplace experience in a fast-paced international environment. The ideal candidate is highly organized, proactive, service-oriented, flexible, and able to balance multiple priorities while maintaining a collaborative and solution-oriented mindset. The role reports directly to Country Manager. Although we have flexibility for work arrangement, this role is expected to work in our offices (both corporate office and Data Center site offices) by default.
Key responsibilities:
Office Management
- Greet and assist visitors, ensuring they have a positive experience and are directed to the appropriate contacts.
- Ensure that office supplies (stationery, kitchen supplies, etc.) are well-stocked and reordered as necessary.
- Handle incoming and outgoing mail, courier services, and manage document filing systems, both physical and digital.
- Oversee the cleanliness and maintenance of the office environment, including coordinating with external vendors such as cleaning or maintenance services to manage any necessary maintenance or repairs.
- Track and manage the office budget and process office related invoices, coordinating with the finance department to ensure timely payments to vendors.
- Work with local management and finance to oversee and own lease administration for the office, negotiation of leases, renewals, refurbishments etc.
- Own the office seating plan ensuring appropriate use of space and accommodation based on business needs
- Coordinate with HR, IT and People Managers, sometimes based overseas, in the onboarding process for new employees in your locations, including support with any local requirements for overseas relocating employees, preparing workspaces, ensuring access to necessary systems, conducting office tours and introductions to key people.
- Actively champion and implement policies and procedures for occupational health & safety in the workplace ensuring a safe, comfortable and secure place for employees and visitors. This will include but not be limited to site security access, information security management, environmental management systems; incident management; and comply with all legal regulatory requirements of the organization in your location.
- Work closely with HR and Country Leadership on Employee Engagement initiatives, supporting with the coordination of social events and team bonding activities.
Executive Support
- Support Country Manager and local management team members with Executive Assistant duties as required. This can be on an ad hoc or more routine basis depending on individual requirements.
- Make necessary arrangements for overseas C-Suite and senior leadership team members to engage with the local teams. This can include but not be limited to organization of “Town Hall” presentations, Meet & Greet, Team Lunch of Employee Engagement initiatives such as drinks or social activities
- Handling confidential and sensitive information with the utmost discretion and confidentiality.
- Managing calendars, travel arrangements and expenses of Country Manager and local management team as requested
- Preparing and editing documents, presentations, reports, and agendas for internal and external meetings.
Other Accountabilities
- Work with Central or country-based Marketing teams to support coordination of local marketing and communication events including but not limited to sourcing local venues and vendors, support with the translation of documents such as internal policies and processes, Press Releases, Marketing Materials, Employee Notices and internal communications
- Work with the Central or country-based HR teams in relation with local employee related issues and provide on the ground support as needed including but not limited to engaging with recruitment vendors, supporting with the scheduling of interviews and communicating with candidates.
- Other duties may be assigned from time to time and based on organizational needs.
Actively champion and implement the organization’s policies on health & safety, environment, energy, quality, information security, and business continuity, ensuring adherence to incident reporting, legal, and regulatory requirements.
The successful candidate:
- Business Level English (Professional/Native speaker)
- Local relevant language for the location of your role (Professional/Native speaker)
- Relevant, proven experience in supporting C-Suite executives as well as performing general office administration.
- Strong organizational, time management, and problem-solving skills with the ability to prioritize and multi-task effectively.
- Self-starter, able to think and perform independently with minimal input and supervision.
- Excellent MS Office capabilities.
- Exceptional verbal and written communication skills
- High attention to detail, accuracy, budget and timeline
- Flexible and adaptable to changing priorities
