What we need:
Reporting to the Country Manager, Thailand, this role will
- Provides high quality office administration support to Thailand team as well as providing general administrative support to the Country Manager.
- Ensures smooth daily operations of Thailand site office, supports employees and leadership, and maintains a well‑organized, compliant, and efficient work environment.
- Supporting visitors and guests to the site, including facilitation of transportation, accommodation and logistical arrangements for both international visitors and local dignatories.
- Provides cross‑functional support across Administration, HR, Facilities, Finance, and Operations, including processes specific to Thailand regulatory environment.
This role is based on site in Chonburi, Thailand
Key responsibilities:
Office Manager Administrative Management
- Oversee daily office tasks and proactively address operational needs including compliance with building administration and management rules.
- Greet and assist visitors, ensuring they have a positive experience and are directed to the appropriate contacts.
- Ensure that office supplies (stationery, kitchen supplies, etc.) are well-stocked and reordered as necessary.
- Handle incoming and outgoing mail, courier services, and manage document filing systems, both physical and digital.
- Oversee the cleanliness and maintenance of the office environment, including coordinating with external cleaning services and managing any necessary repairs or maintenance tasks to maintain a tidy, safe, compliant and vibrant office environment.
- Track and manage the office budget and process office related invoices, coordinating with the finance department to ensure timely payments to vendors.
- Assist HR and IT (both based overseas) in the onboarding process for new employees and contractors, including preparing IT equipment and workspaces, ensuring access to necessary systems, and conducting office tours.
- Coordinate office events, company meetings, and employee activities.
- Handle Regulatory & Compliance but not limited to annual BOI report, including preparation and submission of required documents.
- Serve as the main point of contact for Thailand and other tasks as assigned.
- Define processes to simplify administrative processes for the team, ensuring we have an engaged workforce in a workplace environment that is supportive, safe and enabling.
- Supporting in country or visiting executives with tasks such as but not limited to meeting scheduling, travel logistics or based administration.
Actively champion and implement the organization’s policies on health & safety, environment, energy, quality, information security, and business continuity, ensuring adherence to incident reporting, legal, and regulatory requirements.
The successful candidate:
- Education Level : Bachelors degree in Business Administration, or any related field.
- Experience : At least 5-7 years of relevant, proven experience performing general office administration as well as experience in supporting executive level.
- Experience dealing with local vendors, building admins, and compliance bodies.
- Familiarity with Thailand administrative or corporate requirements which could include supporting with compliance, HR, Finance or other local processes that cannot be handled remotely.
- Strong organizational, time management, and problem-solving skills with the ability to prioritize and multi-task effectively.
- Self-starter, able to think and perform independently with minimal input and supervision.
- Excellent MS Office capabilities.
- Exceptional verbal and written communication skills, with the ability to communicate clearly and professionally with diverse audiences.
- High attention to detail and accuracy, with the ability to perform high-quality work under tight deadlines.
- Flexible and adaptable to changing priorities and demands, with the ability to handle stress and pressure with resilience.
- This role will evolve as the organization in Thailand grows and the successful candidate will need a growth mindset, be agile to changing role responsibilities and priorities as well as a “can do” and “customer focused” attitude.
