What we need:

Reporting to the Head of Digital HR based in Singapore with a dotted-line reporting relationship to the Head of HR, Japan, the HR Systems Specialist, Japan is a country-dedicated role within the global HRIS team. The role will support integration planning, the stabilisation of post-integration system requirements and the longer-term migration of Japan HR systems and data to SAP SuccessFactors. Working closely with local HR, managers, employees, global HRIS colleagues and implementation partners, the Specialist will help manage the potential coexistence of two systems for up to a year, including manual data uploads into SuccessFactors to provide visibility of HR data from acquired businesses, and will help develop and deliver a structured migration plan to SuccessFactors. Although primarily focused on Japan, the role is expected to work collaboratively across the global HRIS team, support peak periods outside the Japan scope where required and may also provide support for Korea.

Key responsibilities:

  • Support the interim operation of HR data across two HR systems for up to a year, including accurate and timely manual uploads into SuccessFactors to maintain visibility of HR data from acquired businesses.
  • Develop and deliver a phased migration plan over approximately one year to move Japan HR data and processes to SuccessFactors, including data cleansing, mapping, validation, reconciliation, testing, cutover and post-go-live support.
  • Partner with local HR, managers, employees, the global HRIS team and external implementation or support partners to gather requirements, resolve issues and deliver practical, sustainable solutions.
  • Assess system integration and harmonisation requirements, dependencies and risks, and work with relevant teams to align local needs with global standards, architecture, security and data governance.
  • Create and maintain process documentation, data controls, test scripts, user guides, training materials and operational procedures in both English and Japanese.
  • Train and support local HR teams and managers in the effective use of SuccessFactors, and support employee onboarding and adoption of SuccessFactors self-service functionality.
  • Produce and maintain HR systems reports, monitor data quality and system performance, and drive issue resolution and continuous improvement.
  • Contribute actively to the global HRIS team, including supporting peak periods or priority initiatives outside Japan where required, and potentially extending system support to Korea.
  • Actively champion occupational health and safety, information security and environmental management responsibilities, and comply with all applicable legal, regulatory and organisational requirements.

The successful candidate:

  • Professional fluency in both Japanese and English, with strong written and verbal communication skills and the ability to translate effectively between local and global stakeholders.
  • At least five years of HR systems experience in a multinational environment, including hands-on SAP SuccessFactors experience in Japan across multiple modules.
  • Demonstrated experience supporting HR system implementations, data migration, testing, data uploads, integrations and process harmonisation, with a clear understanding of the complexity and dependencies involved.
  • Experience training and supporting HR teams, managers and employees, with the ability to explain system processes clearly and build user confidence and adoption.
  • A collaborative, service-oriented approach and willingness to contribute beyond the Japan scope during peak periods or on global priorities; experience supporting Korea would be advantageous.
  • Strong analytical, problem-solving and project management skills, with the ability to work independently, manage competing priorities and maintain close attention to data accuracy and controls.
  • Advanced proficiency in Excel, analytics and PowerPoint.
  • Experience with SmartRecruiters is an advantage.
  • Experience with “Company” and/or Horizon, together with experience working with TMF Payroll, would be beneficial.
