What we need:

 

We are seeking a detail-oriented and proactive HR Associate to support HR operations in Japan.

Reporting to Japan HRBP, this role will work closely with regional HR teams and external vendors across

APAC and will play a key part in ensuring the smooth delivery of payroll, HR administration, employee

lifecycle processes, and HR data management.

 

The successful candidate will work closely with employees, managers, external vendors, and regional

HR stakeholders to deliver accurate and efficient HR operational support. As the HR function continues

to grow, this role will have opportunities to participate in HR projects, process improvement initiatives,

and regional HR activities across APAC.

 

The ideal candidate is highly organized, comfortable working with HR systems and data, and able to

manage multiple priorities while maintaining a high level of accuracy and confidentiality.

 

This role will be based in Tokyo, Japan.

 

Key responsibilities:

  1. Payroll Administration
  • Coordinate monthly payroll activities with the external payroll vendor.
  • Validate payroll inputs and support payroll reconciliations.
  • Assist employees with payroll-related enquiries and ensure timely resolution.
  • Support payroll audits and maintain payroll records. 
  • Support payroll process improvements and identify opportunities to enhance accuracy and efficiency.
  1. HR Operations & Administration
  • Draft, review, and maintain HR templates, letters, and employment-related documentation.
  • Identify opportunities to improve HR processes and administrative efficiency.
  • Manage onboarding and offboarding administration, ensuring smooth employee experience.
  • Maintain employee records and ensure all HR documentation is accurately filed and updated.
  • Support employee lifecycle processes and day-to-day HR operations.
  • Supporting employee benefits administration and leave management processes.
  • Coordinate employee onboarding and offboarding activities with internal stakeholders and external vendors.
  • Support preparation and submission of employment-related documentation required by Japanese authorities and external agencies.
  1. Time & Attendance Administration
  • Time & Attendance Administration
  • Administer and maintain the company’s time and attendance management processes and systems.
  • Monitor attendance records, leave balances, overtime submissions, and related employee data to ensure accuracy and compliance.
  • Coordinate with employees, managers, payroll vendors, and relevant stakeholders to resolve attendance-related issues and discrepancies.
  • Support periodic audits and reporting related to working hours, attendance, and leave management.
  1. HR Compliance & Statutory Administration
  • Support statutory HR reporting and regulatory submissions required under Japanese labor and employment laws.
  • Coordinate with external vendors, government agencies, and relevant authorities regarding employment-related administrative procedures.
  • Support annual HR compliance activities including health checks, stress checks, year-end tax adjustments, social insurance administration, and labor-related reporting.
  • Maintain compliance records and support internal and external audits as required.
  • Assist with visa and immigration administration for foreign employees when applicable.
  • Support handling and processing of employment-related correspondence and government notifications.
  1. HR Systems & Data Management
  • Maintain accurate employee data in SuccessFactors and other HR systems.
  • Perform regular HR data audits, validations, and reconciliations.
  • Ensure data integrity and compliance with internal standards.
  • Support system updates and ongoing HR data maintenance activities.
  1. Employee Records Management
  • Manage and audit electronic employee personnel files.
  • Ensure documentation is complete, accurate, and compliant with company requirements.
  • Support internal and external audit requests related to HR documentation.
  1. Reporting & Analytics
  • Generate regular HR reports and workforce data reports.
  • Support HR metrics tracking and reporting requirements.
  • Assist with data analysis and preparation of management reports.
  1. Employee Support
  • Serve as a first point of contact for employee HR-related enquiries.
  • Provide timely and professional support on HR policies, processes, and procedures.
  • Escalate complex issues as appropriate. 
  • Provide HR operational support to employees and managers regarding HR policies, procedures, benefits, payroll, and employee lifecycle matters.
  • Escalate complex employee relations, labor law, or compliance matters to the HRBP as appropriate.
  1. Actively champion and implement the organization’s policies on health & safety, environment, energy, quality, information security, and business continuity, ensuring adherence to incident reporting, legal, and regulatory requirements.

 

The successful candidate:

Required

  • Bachelor’s degree in human resources, Business Administration, or a related field.
  • +5 years of experience in HR Operations, HR Administration, Payroll Administration, or a similar HR function.
  • Experience supporting HR compliance activities and statutory employment administration in Japan.
  • Experience supporting annual labor, tax, social insurance, or employment-related reporting processes.
  • Experience working with outsourced payroll, benefits, and HR service providers.
  • Experience using HRIS platforms such as SuccessFactors, Workday, SAP, or similar systems.
  • Strong attention to detail and commitment to data accuracy.
  • Excellent organizational and administrative skills.
  • Advanced proficiency in Microsoft Excel and Microsoft Office applications.
  • Ability to handle confidential information with discretion and professionalism.
  • Native-level Japanese and business-level English communication skills.

 

Preferred

  • Experience studying, living, or working overseas, or working in a highly international environment.
  • Demonstrated cross-cultural communication skills and the ability to work effectively with stakeholders across APAC.
  • Experience working in a multinational organization.
  • Experience in a multinational or regional HR environment.
