What we need:
Reporting to the CEO, India. The role provides high-level administrative, operational, and
coordination support to the CEO. The role requires exceptional discretion, judgment, organizational
skills, and the ability to manage multiple priorities while acting as a critical liaison between the CEO
and internal/external stakeholders.
Key responsibilities:
- Executive Support
- Manage the CEO’s calendar, appointments, meetings, and travel arrangements (domestic & international).
- Prioritize and screen calls, emails, and correspondence on behalf of the CEO.
- Prepare agendas, presentations, reports, briefs, and background documents for meetings.
- Track action items and follow up with stakeholders to ensure timely closure.
- Communication & Coordination
- Act as the primary point of contact between the CEO and senior leadership, Board members, clients, partners, and regulators.
- Draft, review, and manage professional correspondence, emails, and internal communications.
- Coordinate leadership meetings, Board meetings, and off-sites, including minutes and documentation.
- Confidentiality & Governance
- Handle confidential and sensitive information with the highest level of discretion and integrity.
- Maintain critical CEO files, records, and documentation in an organized and secure manner.
- Support compliance-related documentation and governance requirements as needed.
- Operational & Administrative Support
- Assist in tracking strategic initiatives, key deadlines, and milestones.
- Support special projects, internal initiatives, and cross-functional coordination as assigned by the CEO.
- Manage expense reports, approvals, and administrative processes efficiently.
- Actively champion and implement the organization’s policies on health & safety, environment, energy, quality, information security, and business continuity, ensuring adherence to incident reporting, legal, and regulatory requirements.
The successful candidate:
- Graduate in Business Administration, Commerce, Arts, or a related field (MBA preferred).
- 5–10 years of experience supporting senior leadership (CEO/MD/Chairperson level preferred).
- Proficiency in MS Office (Outlook, PowerPoint, Word, Excel); strong presentation skills.
- Experience working in fast-paced, dynamic, and matrixed environments is an advantage.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
