What we need:

 

Turn a commercial agreement into an executable instruction for the rest of the company, and act as the control point for data quality at source. Every order, work order, ticket, and record processed in this role is what Operations acts on, what Finance bills from, and what management reports on, so accuracy at source, completeness before release, and follow through to closure are the core of the position. The role also carries a service responsibility to remove administrative work from the sales team's path so that they can stay in front of customers.

 

Key responsibilities:

 

  1. Provide full administrative support across the sales process, covering order creation, contract handling, and invoicing preparation, and coordinate with Finance and Legal so that pre closing and post closing requirements are completed on time.
  2. Validate sales orders and installation work orders for data accuracy and document completeness before processing, and hold any package that fails the completeness check rather than releasing it to clear the queue.
  3. Act as initial dispatcher for installation requests, creating and assigning tickets accurately and confirming the installation schedule with the customer.
  4. Create service termination tickets promptly and monitor them through to closure within the service level, keeping the queue free of overdue tickets and preventing overbilling.
  5. Maintain data accuracy and document completeness across both enterprise systems during the dual entry period, including daily sampling checks and consistent application of data governance standards.
  6. Provide training and hands on assistance to sales colleagues so that they can operate the system without depending on the administration team for routine tasks.
  7. Maintain customer records and follow up actively with the sales team to obtain outstanding supporting documents, tracking status in a follow up log and escalating overdue submissions.
  8. Execute two specialisation assignments allocated by the Supervisor, from tender administration and document library, cloud and partner invoicing support, corporate partner platform administration, commercial estate administration and board memo, or marketing event and collection support.

 

 

The successful candidate:

 

  1. Diploma or Bachelor's Degree in Business Administration, Management, Accounting, Information Systems, or a related discipline. Equivalent practical experience will be considered.
  2. Minimum 2 years of relevant working experience in Sales Administration, Order Processing, Customer Service Administration, Billing Support, or a comparable role. Fresh graduates with strong administrative aptitude may be considered for entry level appointment.
  3. Experience handling document validation and data entry in an enterprise system, with clear written communication in Bahasa Indonesia for internal correspondence and customer contact, and working proficiency in English for system use and partner correspondence.
  4. Exposure to subscription based services, telecommunications, or internet services is an advantage. Experience supporting an enterprise system migration is an advantage but not required.
